Congratulations on your upcoming wedding ! Having planned and overseen in excess of 400 wedding ceremonies and receptions in 10 Downing, Mark and Meg Royston are perfectly placed to help you design your perfect day in this most beautiful of Savannah locations. As newlyweds ourselves, we are intimately aware of the desires and challenges involved in realizing your special day. A Day-Of coordinator is perfect for Brides and Grooms wishing to do most of their own planning.
The savvy couple recognizes, however, that when the big day arrives, a wedding professional is required to make sure all of their
planning efforts are implemented precisely as desired. With disappointing regularity, Brides rely upon friends and family members to fill this crucial role. This has two major drawbacks. Firstly, the people in question no longer feel like guests. Secondly, having little or no experience in the role of the planner, the well-meaning companions will miss desired details. The result is stress and upset all around.
Here is a general outline of the way that your day-of coordinators at 10 Downing will get to know and execute the details of your big day:
From the date of securing services. An unlimited number of consultations via email, telephone and face-to-face conversations designed to ensure we’re all on the
same page. We’ll happily share with you our suggested monthly to-do lists to help make sure the planning process stays on track.
One Month Prior to Wedding Day
We’ll meet face-to-face or by phone to discuss the timeline and all other details. We’ll also re-confirm details and times with all other vendors, and make sure everybody involved has our contact details.
Produce suggested layout diagrams for both ceremony and reception based on final guest-count and seating wishes of Bride and Groom.
Two Weeks Prior to Wedding Day
Finalize details of decoration for both ceremony and reception.
Confirm timeline once more with all vendors, and make sure that they have accurate directions to the wedding location.
Confirm the music the ceremony musician (s) will play, and when.
Determine what signals will cue the musician (s) for both processional and recessional.
Be present to cover all details of ceremony with wedding officiant.
Cover post-ceremony plan with family and Bridal Party. Ensure family and Bridal Party know where they need to be, and at what time, the following day.
Be available to Bride, Groom, vendors and Wedding Party from 7:00am via cell phone and 8:00am in person.
Set up all ceremony decoration, programs, guestbook, candles etc.
Ensure all vendors arrive at previously-arranged times, and direct as to where to setup.
Communicate effectively with Bride and Groom in order to ensure they’re comfortably aware how much time is left prior to the ceremony beginning.
Line up Bridal party for their entrances down the aisle. Gather family and friends for post-ceremony photographs. Direct remaining guests to cocktail hour location.
Oversee the setting up of the room to meet all agreements made with the Bride and Groom.
Ensure all reception-specific decorations and flowers are in place as discussed.
Lay out table numbers, place-cards and menus.
Encourage guests to return to reception venue at the end of cocktail hour.
Keep Bride and Groom, and possibly Wedding Party, on the other side of the entrance door until they receive their cues to be introduced.
Cue band / DJ and photographer / videographer as to when Wedding Party and Bride and Groom are ready to be introduced.
Cue band / DJ and photographer / videographer as to when important events are about to take place: first dance, parent dances, toasts, cake cutting, grand exit etc.
Distribute any final payments / gratuities to vendors at the end of the reception.
Remain easily identifiable and accessible throughout the entire reception, and ready to attend to any details desired by Bride and Groom.
Display and distribute favors at appropriate time.
Coordinate departure transportation for Bride and Groom.
Pack gifts, cards, decorations and miscellaneous personal items, and arrange for collection by family member (s) at the end of the reception.
